Upload files
Upload project-specific files into the project workspace. Upload reusable organisation proof into the Library. Ask AI may also show an upload card when it needs a missing document during chat. After upload, Tendor may process the file before preview and AI analysis are available. You can keep working while processing finishes.Choose where to put a file
| File | Best place |
|---|---|
| Tender pack, addendum, buyer schedule, or pricing workbook | Project files |
| Insurance, licence, policy, case study, CV, or capability statement | Library |
| File requested during one Ask AI conversation | Chat upload card |
| Report, checklist, or draft created by Ask AI | Project file area or chat side panel |
Project file areas
Projects usually separate buyer material from your team’s working files.| Area | Use for |
|---|---|
| Specifications | Buyer documents, addenda, schedules, forms, and instructions |
| Submission | Draft responses, working documents, pricing files, review copies, and final exports |
| Supporting evidence | Case studies, certificates, policies, and other proof used for this bid |
Preview and download
Use file previews to inspect documents without leaving Tendor. When a file cannot be previewed, download it and open it locally. Common actions include:- Preview a PDF, Office document, spreadsheet, image, markdown file, or text file
- Download a single file
- Download a folder or group of files as a ZIP where available
- Search attachments by filename or folder
- Rename, move, duplicate, or delete files where your role allows it
Opportunity attachments
Opportunity attachments are buyer documents found with a tender or grant. If an opportunity does not show attachments, Tendor may show an option to request documents or direct you to the original listing. When you create a project from an opportunity, relevant opportunity resources stay connected so Ask AI can still use them in project chat.Generated files
Ask AI can create reports, drafts, checklists, and other outputs. These appear in the chat side panel or project file area, depending on the task. Review generated files before using them in a submission.Duplicate uploads
When you upload a file that matches an existing file, Tendor may ask whether to replace, skip, or keep both files. Use:- Replace when the new file is the updated version of the same document
- Skip when the existing file is already correct
- Keep both when the files have similar names but different content
Delete and restore
If a file is deleted by mistake, check whether it appears in Recently Deleted or whether the project has an earlier version. Restore files that are still needed, and permanently remove files only when your team is sure they are no longer required.Keep files review-ready
Use names that describe the file and the version, especially close to submission. For example, include the buyer name, section, date, or status where useful. Before submission, confirm:- Required attachments are present
- Files open correctly
- Drafts and final exports are clearly separated
- Old versions are not mistaken for the final response
- Reusable evidence is current in the Library
Troubleshooting
| Issue | What to do |
|---|---|
| Preview is processing | Wait a moment and refresh the file view later |
| Preview is unavailable | Download the file and open it locally |
| AI cannot find a file | Confirm it is in the project or Library, not only on your computer |
| Old evidence appears in analysis | Replace outdated files in the Library |
| A file was deleted by mistake | Check Recently Deleted, earlier versions, or another team copy |
